What we handle

Everything between the risk you accept and the bordereau your insurer signs off.

Each service runs as a documented process with named owners, turnaround times and a monthly report back to you. Take the full desk or the parts that hurt most.

Policy administration

New business, renewals, endorsements, cancellations and reinstatements captured and issued on your system. Schedules, wordings and tax invoices go out the same working day.

  • Quote-to-policy capture and quality check
  • Renewal invitations 30 days ahead
  • Mid-term changes and cover confirmations

Premium collection & credit control

Debit order runs, cash receipting and allocation, arrears follow-up and lapse management. Unallocated cash is cleared before month-end, not carried into it.

  • DebiCheck mandates and monthly runs
  • Rejections re-presented and followed up
  • Lapse and reinstatement processing

Bordereaux & insurer reporting

Premium, claims and risk bordereaux prepared, reconciled to bank and submitted in your insurer’s format by the binder deadline, every month.

  • Bordereau-to-bank reconciliation
  • Insurer and reinsurer statements
  • Query resolution with the insurer’s binder team

Claims administration

Registration, acknowledgement, assessor or loss adjuster appointment, reserve updates, payment requisitions and recoveries, tracked from first notification to close.

  • Same-day acknowledgement to the broker
  • Reserve and movement reporting
  • Salvage and third-party recoveries

Broker & commission management

Onboarding and licence checks for the brokers who place business with you, monthly commission statements, and a single desk for broker queries.

  • FSP licence and representative verification
  • Commission calculation and statements
  • Broker query handling within one working day

Compliance & record-keeping

FAIS, TCF, POPIA and binder-agreement obligations built into daily process, with files that are audit-ready when your insurer or the FSCA asks.

  • Binder service-level tracking
  • Complaint register and TCF reporting
  • Document retention and retrieval

How it runs

A month on the desk.

UMA administration is a monthly cycle with hard dates. This is what a BrokerDesk month looks like once your book is with us.

  1. Working days1 – 5

    Close the previous month

Prior-month premium and claims bordereaux reconciled to bank and submitted to the insurer. Commission statements issued to brokers. Your month-end desk report lands in your inbox.

  2. Days6 – 20

    Run the daily desk

New business, renewals and endorsements processed as they arrive. Claims moved forward, reserves updated. Broker queries answered within one working day.

  3. Days15 – 25

    Invite next month’s renewals

Renewal invitations for the following month issued 30 days ahead of inception. Retention follow-ups logged, rate or cover changes referred to your underwriters.

  4. Days25 – 31

    Collect and reconcile

Debit order run submitted and results actioned. Cash allocated, arrears and lapses managed. Month-end reconciliation prepared and ready for your sign-off.

Why BrokerDesk

An admin function that scales with your book, not your headcount.

Most UMAs carry admin as fixed overhead and single-person risk. We turn it into a managed service with defined turnaround times and a monthly cost that tracks your book.

Talk to us about your book
  • Binder-aware from day one

Your insurer’s deadlines, bordereau formats and service levels become our operating rules. We speak to their binder team in their language.

  • Your system or ours

We work on the policy administration platform you already run. No migration, no re-keying, and your data stays where it is.

  • A fixed monthly fee, scoped to your book

Pricing is agreed against policy count and the services you take. Add a product line or a broker panel without a hiring round.

  • No single-person dependency

Every process on your desk has a primary and a backup. Leave, resignations and sick days stop being a risk to your bordereau deadline.

  • You see the whole desk

A monthly report shows what was processed, what is outstanding, where cash sits and which broker queries are open. Nothing lives only in someone’s head.

  • Audit-ready by default

Records are kept the way an insurer audit or FSCA review expects to find them, so a request for files is a retrieval, not a project.

Who we work with

Anyone holding binder or outsourced authority in short-term insurance.

Underwriting Managers

Established UMAs that want to lift admin off the underwriting team, or that have outgrown a back office built for a smaller book.

New binder holders

Teams launching a niche product under a new binder agreement who need a compliant, working desk before the first policy is issued.

Brokers with binder authority

Brokerages holding binder or outsourced functions who need the insurer-facing administration handled to the standard the agreement requires.

Insurers and cell captives

Insurers who want a consistent administration standard across the UMAs on their panel, or a desk for a product without its own back office.

Classes of business we administer

  • Motor
  • Property
  • Commercial
  • Liability
  • Engineering
  • Marine
  • Agri
  • Hospitality
  • Specialist and niche schemes

About BrokerDesk

Built by people who have run UMA back offices.

BrokerDesk exists because good underwriting businesses keep losing time and money to administration that nobody set out to be good at. The underwriters end up processing endorsements, the bordereau goes out late, and the insurer notices.

We started BrokerDesk to give Underwriting Managers what larger insurers have: a dedicated administration function with a process for everything and a person accountable for each one. We are based in South Africa and work with UMAs across the country.

  • Deadlines are the product

A bordereau submitted on working day 3 is worth more than a perfect one on day 12. We build the desk around the dates.

  • Nothing undocumented

If a process only exists in one person’s head, it is a risk. Every task on your desk has a written procedure.

  • Your brand, your relationships

Brokers and insurers deal with your business. We work behind your name, on your templates, in your tone.
